COMPUTERIZED MANAGEMENT INFORMATION SYSTEM

 

ABSTRACT

 

School tuition payment and clearance for examination protocol are two activities that students despise at Caritas University. The explanation for this is not difficult to imagine; the manual processing approach in use. This manual approach takes time and is prone to errors. During the clearing period, when all students submit their receipts to the clearance officer for verification before examination, the wait is much more obvious. As is typical of manual operations, this has resulted in never-ending lines during the clearance time. The students are queuing because the clearance officer is personally checking through their receipts, and some have misplaced their receipt in the process. The goal of this project is to create software that can handle this task efficiently. Because the process is now computerized, the clearing officer may now verify students for examination without them having to queue because the process is now fast, dependable, and efficient.

 

CHAPITRE ONE

 

1.1 BEGINNING

 

Paying school fees, especially in tertiary institutions, is an unavoidable responsibility for students, parents, guardians, the government, and organizations that provide scholarship funds. The money is utilized to provide students with a favorable learning environment. It enables management to pay staff salaries, provide equipment, and maintain school infrastructure. The importance of an effective and automated student fee administration system cannot be overstated at Caritas University Bursary Department. This is due to the fact that it is a private university whose primary source of income is student fees. Receipts are then supplied to students, just like in any other legal transaction, which they must demonstrate before taking examinations, receiving campus housing, submitting course forms, getting lab tests and treatment, getting ID cards, and so on. Enrollment in the institution has continuously expanded in recent years, putting a greater demand on the clearance officer, who personally and painstakingly checks through all of the students’ receipts and certifies rather than providing clearance cards before examinations. This manual processing system resulted in receiving losses and delays during the clearance phase. The establishment of an electronic database system is thus recommended in this project effort to speed up and simplify this manual fee processing procedure.

 

This computer-based management system has a bright future for educational institutions looking to improve their charge management system. A computer-based fee management processing system is becoming increasingly important in a big number of universities throughout the world. The proposed system would electronically store, route, display, and issue receipts and cards. This solution not only improves the university’s document management, but it also enables for faster and more efficient decision-making.

 

1.2 THE STUDY’S BACKGROUND

 

Caritas institution is a private institution that was accredited by Nigeria’s federal government on December 16, 2004. It is located in Enugu and was officially launched on January 21, 2005 by Prof. Fabian Osuji, the then Minister of Education. On May 28, 2005, the 250 pioneer students matriculated in a spectacular ceremony attended by officials from both the church and the state. Rev Fr Prof Emmanuel Paul Mathew Edeh C.C.Sp OFR founded Nigeria’s second Catholic University. The University is owned by the Sisters of Jesus the Saviour, a religious organization founded by him.

 

Caritas University’s vision is to rescue wandering and teeming adolescents from further academic and moral ruin, as well as to alter society via sound and untainted education. Its aim is to find, sanctify, and apply scientific, environmental, and engineering knowledge for human well-being and sound human growth for a better society.

 

The purpose of Caritas University is to make the university’s motto and educational philosophy more effective. Not only does the university value solid education for professional skills and competencies in a variety of subjects, but it also values tight discipline. It teaches the mind, body, soul, and spirit to obey and govern themselves. Students must be not only intellectually prepared, but also ethically prepared to face the world with all of its tensions, conflicts, problems, and upheavals. This is accomplished with the assistance of God Almighty, who is always present with us.

 

The philosophy is to provide rigorous education for professional skills and competencies in a variety of sectors. The faculty system is controlled by the university. Engineering, Environmental Sciences, Management and Social Sciences, and Natural Sciences are taught at the school.

 

1.3 THE STUDY’S OBJECTIVES

 

The study’s aims are as follows:

 

i. Avoid excessive paper processing during tests.

 

ii. Make managing and updating student fees and other records more efficient and simple.

 

iii. To provide a query response system that is quick, accurate, and timely.

 

iv. To provide answers to the problems of inaccuracy, alteration, delay, receipt loss, and anomalies in the manual clearance system.

 

v. Ensuring the timely preparation of school tuition receipts

 

vi. Allow parents or guardians to determine whether or not their children are paying fees.

 

vii. Reduce student queuing during exam clearance.

 

viii. Assist management in making decisions

 

ix. Immediately after payment, generate a receipt and a clearing card.

 

x. To alleviate stress and provide simple access to student records

 

1.4 THE STUDY’S OBJECTIVE

 

The goal of this research is to create software or a database that stores students’ school fees status, student ledger book, generate receipts, generate clearing cards, and other records. The database record or data can thus be used in decision making, particularly during examination clearance.

 

1.5 THE STUDY’S SIGNIFICANCE

 

This research aims to replace Caritas University’s inefficient and time-consuming manual fees administration system, as well as clearing during tests. Students who regularly go for this clearance, without which they will not be able to appear for their examinations, occasionally miss lectures. As a result, this research is important for eliminating inefficiencies.

 

1.6 THE STUDY’S LIMITATIONS

 

The main restraints on this project’s work are time and money.

A fee is a charge levied by an institution, such as for membership, admission, or the administration of an examination.

 

Receipt: a written confirmation that money or goods have been received.

 

Clearance: authority to do or allow something to happen.

 

Automation: a system in which a workplace or process has been changed so that mechanical or electronic technology replaces or reduces human labor.

 

Computerized: To install or begin using a computer system to organize, control, or automate something.

 

Database: Any collection of data organized for storage in a computer memory and structured for simple access by authorized users.

 

Password: a secret code that a user must enter into a computer to gain access to its contents.
